TERMS AND CONDITIONS
Your attention is drawn in particular to the following.
- Cancellations of less than two weeks will be chargeable at the full hire rate subject to any extenuating circumstances and at SWCA discretion.
- Payment in advance of one calendar months hiring fees
- Deposit payment will be required and the deposit refund will only be returned to named person on the Hire Agreement.
- The named person on the Hiring Agreement must be the person who pays monies into our account, we cannot accept credit amounts from any other person.
- The named person on the Hire Agreement must be in attendance for their booking. Hirers are responsible for the behaviour and conduct of all participants.
- Hirers may book up to two rooms at any one time. Any requests for exceptions to be entirely at the discretion of Trustees, normally in the first instance the Lettings Officer /Administrator Officer.
7. All hire fees, storage charges and deposit must be paid at times stipulated in the Hiring Agreement. Booking will not be confirmed until the deposit is paid, and the Hirer will have no right to use the rooms and facilities, until all payment have been made in full at the times stipulated.
8. If the Hirer wishes to cancel the booking, a cancellation charge will apply at SWCA discretion.
9. The Hirer shall, on making the booking inform the Lettings Officer or Office Administrator of any special requirement.

11. All regular users will be required to pay one full calendar month’s hiring fee in advance as from .the 1st May 2007, plus appropriate deposit, which will be confirmed.
12. All casual users to pay in advance as per the above.
13. Deposit for casual bookings is £150 and for regular hires it is £100.
14. Hirers must arrange their own relevant insurance cover.
15. A copy of the Association’s public liability insurance is available for inspection at the office.
16. The observance of all regulations appertaining to the premises rules as set by the Local Authority or other relevant bodies.
17. Your attention is also drawn to the “no smoking” signs. Smoking is not allowed, either inside or outside the building. In the event of transgression, the hirer will be personally liable. You can be fined up to £200:00 for this offence. Failure to comply with this rule could also affect your further use of the facilities as well as membership.
18. No literary, dramatic, musical, films or video work shall be performed or shown at the premises without obtaining all necessary copyright licences and theatre, film, video and public entertainment licences. No such work shall be performed or shown without the prior approval of the Lettings Officer, and no alteration to the work shall be made after such approval.
19. The Hirer shall not use the premises for any purpose other than that permitted under the Hiring Agreement and will not, without obtaining the prior consent of the Letting Officer, use or enter the premises at any times other than those permitted under the Hiring agreement.
20. The Hirer shall not assign the benefit of the Hiring Agreement.
21. The Hirer shall not share the use of the premises with any person or organisation other than a member or invitee of the Hirer permitted to use the premises under the Hiring.
22. Any damage must be paid for.
23. The Hiring may be terminated by notice given by the Letting Officer if: any fee, storage charge or deposit due under the Hiring Agreement is not paid on time; or at Letting Officer discretion if the event is not suitable, but without prejudice to any claim by the Association against the Hirer for non-payment of the fees or non-compliance with these conditions.
24. The Hirer shall, if selling goods on the premises, comply with Fair Trading Laws and any local code of practice issued in connection with such sales. In particular, the Hirer shall ensure that the total prices of all goods and service are prominently displayed, as shall be the organiser‘s name and address, and any discounts offered are based only on Manufacturers’ Recommended Retail Prices.
25. The Association reserves the right to terminate forthwith any entertainment, activity or meeting under the hire that is not properly conducted.
26. Alcohol will be permitted if pertinent to the nature of the function, but may not be sold on any part of the premises.
27. Storage may be accommodated, subject to agreement and fee, but capacity is strictly limited. If the hirer is permitted to store equipment between sessions, it must be in such a place and manner as indicated by the Lettings Officer.
28. No dangerous or unsuitable articles may be stored.
29. The SWCA accepts no responsibilility for any stored equipment. All properties at owner’s risk
30. All equipment and other property (other than stored equipment) must be removed at the end of each session; otherwise further reasonable fees may be charged at the discretion of the Trustees until the items are removed.
31. The SWCA may dispose of items brought onto or stored on the premises, by sale or otherwise, and on such terms and conditions as it thinks fit, and charge the Hirer any costs incurred in storing and disposing of such items, in any of the following circumstances: in respect of stored equipment, failure by the Hirer either to pay any storage charge due and payable or to remove the equipment within 7 days after the hiring; in respect of any other property brought onto the premises for the purpose of the hiring or failure to remove the property within 7 days after the hiring.
32. The Hiring Agreement constitutes permission only to use the premises, and confers no tenancy or other right of occupation on the Hirer.
33. The Hirer must vacate the room(s) by the stipulated time. Failure to do so may incur a surcharge deductible from the deposit paid
34. Should these periods overrun, additional charges rounded up to the next whole hour will become payable. Booking times must be booked to full hours and not to part of hours.
35. Premises must be vacated by 21.30hrs Annexe Building Victory Road and 3 Pincott Road. 36. Hirers must tidy all facilities after use, restoring them to the condition found and using the rubbish disposal facilities outside. This included packing away any tables and chairs used.
37. Vehicles and their contents are left in the car park entirely at the owner’s risk
38. No bicycles allowed on the premises.
39. All prospective users will be required to complete a questionnaire and booking form.
40. An additional £8 charge per hour for use of kitchen facilities.
41. Kitchen area must be kept clean, in compliance within Health and safety Legislation.
42. Centre Membership Prices Annual :Ordinary member £5:00
